EXEMPTAX offers two easy options to keep your documents organized: deleting unwanted documents before validation is complete and archiving finalized documents to keep your active workspace clutter-free.
Both options help you manage your documents more efficiently, but they work differently when it comes to document status and storage usage.
When Should I Delete a Document?
Uploaded the wrong document or have one that cannot be used? You can delete documents in Pending or Escalated status before validation is complete. For example:
- A document is illegible or cannot be processed.
- An incorrect or duplicate document was uploaded.
- A document was submitted by mistake.
Once a document reaches Completed or Rejected status, deletion is no longer available. This ensures that documents that have completed the validation process and their review history remain available for future reference.
Good to know: Deleting unwanted documents permanently removes it from EXEMPTAX, so it cannot be retrieved. It also frees up space in your allotted document storage.
When Should I Archive a Document?
Want to tidy up your workspace without losing important records? You can archive rejected or expired documents that you no longer need in your active workflow. For example:
A rejected or expired document no longer needs to appear in your active view.
You want to keep a record of a document and its review outcome without cluttering your workspace.
You want to organize your documents while keeping their history available for future reference or audits.
Archiving helps you keep your workspace clutter-free while retaining your documents and their history in your EXEMPTAX account. You can easily access archived documents whenever you need them.
Good to know: Archiving is designed to help you organize your documents, not reduce storage usage. Archived documents remain in EXEMPTAX and continue to count toward your allotted storage volume.
